POSITION PURPOSE:
Performs a variety of secretarial and general office assistance duties in support of Project Enlightenment. Responds to inquiries and researches replies to questions posed by school system staff, parents, and others seeking information about Project Enlightenment programs and activities.
MINIMUM QUALIFICATIONS:
KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)
- Considerable knowledge of Microsoft Office, specifically Microsoft Word, Excel, Power Point; Google Apps;
- Considerable knowledge of bookkeeping and accounting procedures;
- Effective time management skills;
- Excellent customer service skills with the ability to calmly route concerns to appropriate staff;
- Excellent proofreading skills;
- Critical thinking and problem solving skills;
- Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
- Ability to work proactively and recommend more efficient methods of productivity within the office;
- Ability to work independently without close supervision;
- Ability to establish and maintain effective working relationships with school system staff, external agencies, parents, and the community.
EDUCATION, TRAINING, AND EXPERIENCE
- High school diploma or equivalent;
- Experience as a secretary working with a variety of duties;
- Experience in monitoring budget and payroll functions.

PREFERRED QUALIFICATIONS:
- Associates degree from a regionally accredited college or university;
- Secretarial experience in a public school setting;
- Experience using Oracle business applications
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Performs secretarial duties and provides administrative support to the Director and staff of Project Enlightenment.
- Serves as the initial contact person for visitors and answers incoming phone calls to the office. Receives and routes incoming phone calls and emails to the Director and other Project Enlightenment staff.
- Maintains departmental general ledger; creates and processes purchase orders and direct pay requests; orders, receives and distributes supplies for department staff; processes contracts, service agreements, and payments for agreements generated by Project Enlightenment.
- Prepares and makes bank deposits as needed.
- Responds to inquiries and researches replies to questions posed by school system staff, parents, and the public seeking information about Project Enlightenment programs.
- Monitors and processes time records for department staff including leave requests and reports; maintains departmental files
- Prepares and processes system-wide prior approval requests for teacher substitutes, out-of-district travel for Project Enlightenment related activities.
- Generates effective correspondence, presentations, reports, and other documents, as directed.
- Attends and participates in required professional development, Project Enlightenment meetings, and committees, as required.
- Performs other related duties, as assigned.
WORK ENVIRONMENT/PHYSICAL REQUIREMENTS
This position operates in a professional office and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff, parents, staff members of external agencies, and the community. Work is considered light physical work, requiring the exertion of up to ten pounds of force.
