POSITION PURPOSE:

Administers the WIDA-Access Placement Test (W-APT) for newly enrolling students who report a home language other than English and supports the enrollment processes for newly enrolling international students by providing general office assistance to the Center for International Enrollment (CIE).

 

MINIMUM QUALIFICATIONS: 

KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)

  • Considerable knowledge of Microsoft Office, specifically Word and Excel, and Google Apps;
  • Excellent customer service skills;
  • Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
  • Ability to handle and comply with confidentiality policies, security requirements, and testing protocols in a school setting;
  • Ability to pay attention to detail and have a high level of accuracy;
  • Ability to establish and maintain effective working relationships with school system staff, students, parents, external agencies, and the community.

 

EDUCATION, TRAINING, AND EXPERIENCE

  • High school diploma or GED;
  • Experience in a clerical or customer service setting.

 

CERTIFICATION AND LICENSE REQUIREMENTS

  • Must hold and maintain a valid motor vehicle operator’s license according to the State of NC requirements.

 

PREFERRED QUALIFICATIONS:

  • Graduation from a two year college or technical school majoring in administrative office support;
  • Knowledge of the ESL (English as a Second Language) program procedures and processes for student identification and service delivery;
  • Experience in a school setting, handling academic records and testing materials.
  • Ability to translate/interpret to and from a language other than English; advanced proficiency speaking, reading, and writing fluently in a language other than English.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Administers the W-APT screener to identify the English proficiency of newly enrolling students who are English Language Learners (ELLs);
  2. Scores the W-APT according to the screener’s scoring rubric; manually records the student’s information and results on the results form; submits the screener immediately upon completion for review by the Enrollment Specialist. The Data Manager will enter the scores for the enrolling student.
  3. Works along with CIE staff members to ensure that the students and parents receive excellent customer service during their enrollment and testing process.
  4. Reviews rubrics and consults with the Enrollment Specialist and/or the Senior Administrator during unusual cases.
  5. Reports to schools to screen students on site approximately once a week.
  6. Collaborates with CIE staff members in planning and administering the screener for rising kindergarteners, occasionally, for Saturday sessions.
  7. During peak times, assists the Communication Specialist with the enrollment process for newly enrolling international students.
  8. Greets parents and students, answers incoming calls, completes the demographics section of the

student’s enrollment form, schedules appointment using Google Calendar, and explains the process and what to expect to parents and students, when needed.

  1. Provides general office assistance including filing, photocopying, scanning, etc., when needed. Utilizes encryption software to submit W-APT to schools, when needed.
  2. When needed, calls schools within North Carolina and in other states to obtain critical screening information for enrolling students.
  3. Performs other related duties, as assigned.

 

WORK ENVIRONMENT/PHYSICAL REQUIREMENTS

This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff, external agencies, and the community. Work is considered light physical work, requiring the exertion of up to ten pounds of force. The work frequently requires driving automotive equipment.
