POSITION PURPOSE:
Provides customer service and serves as the first point of contact for maintenance calls and operational issues from Wake County Public School System (WCPSS) sites. Determines appropriate priority code for work required and creates service requests/work orders. Notifies the proper responders and provides accurate data in the database to document work.
MINIMUM QUALIFICATIONS:
KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)
Considerable knowledge of Microsoft Office specifically Word, Excel, and PowerPoint; Google Apps;
Excellent customer service skills;
Effective time management skills;
Critical thinking and problem solving skills;
Ability to complete complex tasks and minimize errors with attention to detail;
Ability to work independently without close supervision;
Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
Ability to establish and maintain effective working relationships with school system staff, contractors, and the public.
EDUCATION, TRAINING, AND EXPERIENCE
High school diploma or equivalent.
CERTIFICATION AND LICENSE REQUIREMENTS
None
PREFERRED QUALIFICATIONS:
Knowledge of Maximo or other asset management software systems.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Provides customer service and serves as the first point of contact for maintenance calls and operational issues from WCPSS sites.
Determines appropriate priority code for work required and creates service requests/work orders. Notifies the proper responders and provides accurate data in the database to document work.
Provides office support including word processing, organizing data in spreadsheets and databases, managing a calendar, filing, mail pick-up, and providing customer service to walk in customers.
Assists with invoicing work orders by performing data entry into a database to include the details listed on each invoice explaining work performed by contractors addressing issues.
Updates work order information as contractors progress through each work order; communicates with contractors to request status updates and updates the work order database, as necessary.
Receives warehouse requisitions and posts in the database by performing data entry based on purchase order requisition information.
Performs other related duties, as assigned.
WORK ENVIRONMENT/PHYSICAL REQUIREMENTS
This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff and staff members of external funding agencies, and the community. Work is considered light physical work, requiring the exertion of up to ten pounds of force.
