WORK WEEK SCHEDULE

Monday-Friday (occasional evenings and weekends) Position is available for a hybrid telework workweek

 

POSITION PURPOSE:

Ensures accurate data entry and record keeping by following procedures set forth by Wake County Public School System (WCPSS). Analyzes data for students being served or potentially eligible for ALS. Compiles and responds to large confidential and sensitive student information data requests as well as collaborates with various departments and staff to ensure that requirements and procedures are being followed. Solicits, coordinates, processes, and maintains registration, hotel, and travel; as well as regular teacher travel, workshop, and supply expenses. Processes and reconciles purchase orders. Enters and maintains inventory information for the district’s Advanced Learning Services department.  

 

MINIMUM QUALIFICATIONS: 

KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)

  • Considerable knowledge of Microsoft Office, specifically Word, Excel, PowerPoint; Google apps; knowledge of Blackboard and other district-wide student information systems;
  • Knowledge of local and state policies and procedures impacting Academically or Intellectually Gifted (AIG);
  • Knowledge of bookkeeping principles and practices;
  • Knowledge of inventory management practices;
  • Excellent organizational, analytical and proofreading skills with the ability to track potential errors and verify accurate data contained in databases;
  • Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
  • Ability to complete complex tasks and minimize errors with attention to detail
  • Ability to work independently and complete tasks in the absence of clear directions;
  • Ability to develop and manage budget and inventory records;
  • Ability to understand, interpret, and apply specific rules and regulations governing the processing of fiscal documents, maintenance of financial records, and the preparation of fiscal reports;
  • Ability to organize and maintain both paper and digital records and files;
  • Ability to establish and maintain effective working relationships with school system staff, students, parents, staff members of external funding agencies, and the community.

 

EDUCATION, TRAINING, AND EXPERIENCE

  • Associates degree from a regionally accredited college or related field;
  • Two years of  Processing Technician experience and database management.

 

CERTIFICATION AND LICENSE REQUIREMENTS

None

 

PREFERRED QUALIFICATIONS:

  • Experience working within a central office environment.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Gathers, creates, analyzes, and coordinates the annual data collection that is provided to the North Carolina Department of Public Instruction (NCDPI).
  2. Disaggregates data to provide it to school-based leadership, Central Services Staff and the Board of Education.
  3. Maintains general ledgers and records for all AIG transactions.
  4. Maintains AIG test material inventory. Assists with ordering and distribution of test materials to and from schools.
  5. Provides technical support to ALS staff with the collection and management of student data.
  6. Creates and processes purchase orders and direct pay requests for ALS.
  7. Solicits, receives, reviews, and prepares registration, hotel and travel documents for processing, payment to vendors and reimbursements.
  8. Coordinates hotel and travel arrangements for events.
  9. Processes and reconciles purchase orders.
  10. Communicates with school system personnel and vendors, as needed, to ensure purchases are paid.
  11. Performs other related duties, as assigned.

 

WORK ENVIRONMENT/PHYSICAL REQUIREMENTS

This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff and the public. Work is considered light physical work, requiring the exertion of up to ten pounds of force.
