POSITION PURPOSE:
Performs a variety of technical, administrative and computer support functions including maintaining all data and records that pertain to the school counseling & student services training and professional learning. Also performs a variety of clerical and secretarial duties including customer service functions for Office of Counseling & Student Services.
MINIMUM QUALIFICATIONS:
KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)
- Considerable knowledge of Microsoft Office, specifically Microsoft Word, Excel, and Power Point; Google Apps;
- Excellent customer service and organizational skills;
- Critical thinking and problem-solving skills;
- Ability to integrate data from multiple sources;
- Ability to be detail oriented and work with a high degree of accuracy and handle multiple tasks.
- Ability to work efficiently and independently in collaboration with others; Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
- Ability to establish and maintain effective working relationships with school system staff, staff members of external funding agencies, and the community.
EDUCATION, TRAINING, AND EXPERIENCE
- High school diploma or equivalent;
- Three years of experience in data entry using Excel or Access.

PREFERRED QUALIFICATIONS:
- Associates degree from an accredited college or university;
- Familiarity with student services programs in Wake County.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provides first line tech support for laptops, printers, phones and software apps.
- Enter student information into Infinite Campus and Wake Learns for Office of Counseling & Student Services programs and services.
- Maintains digital and physical student records for Office of Counseling & Student Services programs and services.
- Processes records to and from schools.
- Helps to ensure information is accurate and entered in a timely manner.
- Assists with the preparation and submission of required reports.
- Enters data into the Office of Counseling & Student Services programs and services Database including workshop information, participant registration, workshop attendance, and participant evaluation.
- Maintains and enters data from workshops into Wake County Public Schools System (WCPSS) site--Wake Learns for WCPSS staff. Provides customer support to workshop participants around issues related to registration and licensure/CEU credit.
- Generates, from the database, forms for the workshop presenters including rosters, evaluation forms, licensure/CEU credit forms and others, as necessary. Creates folders for each workshop and monitors workshop participant attendance, evaluation, and codification of courses offered.
- Tracks compliance with Office of Counseling & Student Services programs and services.
- Provides customer support to the Office of Counseling & Student Services Central Services Teams’ requesting training.
- Serves as a member of the Clerical team and attends meetings.
- Troubleshoots problems and generates new forms and reports, as needed.
- Collates and reports on data collected from various Office of Counseling & Student Services programs and services, data sources, including coordination of requests and necessary changes with WCPSS Technology staff and director.
- Performs other related duties, as assigned.
WORK ENVIRONMENT/PHYSICAL REQUIREMENTS
This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff, staff members of external funding agencies, and the community. Work is considered light physical work, requiring the exertion of up to ten pounds of force.
