WORK WEEK SCHEDULE

Monday-Friday (occasional evenings and weekends) Position is available for a hybrid telework workweek 

 

POSITION PURPOSE:

Oversees substitute teacher applications and reactivations according to minimum eligibility requirements while following an established substitute teacher hiring process. Completes the annual renewal process for substitute teachers; oversees substitute teacher information in the substitute teacher management system (currently Absence Management), ensuring information is updated and accurate. Manages and compiles reports, data, and statistics related to substitute teachers. Provides quality Human Resources support and assistance to schools, substitute teachers, Human Resources administrators, and applicants. Ensures operations of the substitute office runs effectively and efficiently while taking the initiative to recommend changes to processes as well as solutions to issues that may arise, as necessary.

 

MINIMUM QUALIFICATIONS:  

KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)

  • Considerable knowledge of school operations;
  • Considerable knowledge of Microsoft Office, specifically Microsoft Word, Excel, Power Point; Google Apps;
  • Excellent customer service and interpersonal skills;
  • Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
  • Ability to present information in an easily understood format to large audiences;
  • Ability to minimize errors with attention to detail;
  • Ability to meet deadlines;
  • Ability to exercise independent initiative to perform both original and recurring assignments, and exercise judgement in the absence of clear directives;
  • Ability to establish and maintain effective working relationships, and build consensus with district and school administrators, teachers, support staff, central services stakeholders, and the public.

 

EDUCATION, TRAINING, AND EXPERIENCE

  • Associate’s degree in human resources, business, or related field; 
  • Experience in human resources or related field;
  • Understanding of recruitment/staffing processes.

An equivalent combination of relevant education, training, and experience which provides the knowledge, skills, and abilities necessary to successfully meet the essential duties may be considered.

CERTIFICATION AND LICENSE REQUIREMENTS

None

 

PREFERRED QUALIFICATIONS:

  • Bachelor’s degree in human resources, business, or related field; 
  • Experience working with substitute management software;
  • Experience working with Oracle business application.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Oversees substitute teacher applications, reactivations, and substitute orientation according to minimum eligibility requirements while following an established substitute teacher hiring process.
  2. Communicates with applicants regarding incomplete applications and provides support. 
  3. Manages information in the substitute teacher management system by analyzing data, entering data, and creating/compiling various reports. 
  4. Ensures operations of the substitute office runs effectively and efficiently while taking the initiative to recommend changes to processes as well as solutions to issues that may arise, as necessary. 
  5. Completes the annual renewal process for substitute teachers.
  6. Provides technical support for the substitute teacher management system (applicants and district staff).
  7. Develops and delivers training to school Lead Secretaries and Bookkeepers.
  8. Attends and participates in team meetings and events, as required.
  9. Performs other related duties, as assigned.

 

WORK ENVIRONMENT/PHYSICAL REQUIREMENTS

This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff, staff members of external funding agencies, and the community. Work is considered light physical work, requiring the exertion of up to ten pounds of force.
