POSITION PURPOSE:
Under direct supervision, assists with the management of the Wake County Public Schools (WCPSS) substitute teacher management system. Provides quality Human Resources support and assistance to schools, substitute teachers, Human Resources administrators, and applicants.
MINIMUM QUALIFICATIONS:
KNOWLEDGE, SKILLS, AND ABILITIES (KSAs)
- Considerable knowledge of Microsoft Office, specifically Microsoft Word, Excel, and Power Point;
- Knowledge of school operations;
- Excellent customer service skills;
- Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback;
- Ability to minimize errors with attention to detail;
- Ability to meet deadlines;
- Ability to exercise independent initiative to perform both original and recurring assignments, and exercise judgment in the absence of clear directives;
- Ability to establish and maintain effective working relationships as a team member, with school system staff and the public.
EDUCATION, TRAINING, AND EXPERIENCE
- High school diploma or equivalent;
- Experience in a clerical or human resources related area;
- Other combinations of applicable education, training, and experience which provide the knowledge, skills, and abilities necessary to perform effectively in the position may be considered.
CERTIFICATION AND LICENSE REQUIREMENTS
None
PREFERRED QUALIFICATIONS:
- Two years of post-secondary coursework in human resources or related field;
- Experience working with an Absence Management software system or other substitute teacher management systems;
- Experience working with Oracle business applications.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Enters, maintains, revises, and updates all WCPSS substitute teacher and employee profiles in the substitute teacher management system.
- Provides assistance to customers (substitute teachers, WCPSS employees and prospective substitute teachers) through written or verbal communication (e-mail, memo, telephone, letter, etc.)
- Reviews and processes substitute teacher applications according to minimum eligibility requirements while following an established substitute teacher hiring process; communicates with applicants frequently regarding incomplete applications and to provide applicant support.
- Facilitates orientation for new substitute teachers; creates and maintains an appropriate supply of orientation packets and correspondence for new substitute teachers.
- Creates personnel files for newly hired substitute teachers and forwards them to the employee file room.
- Requests files as needed from the file room and records substitute pertinent information on the proper spreadsheet; requests incomplete files at the end of each school year to update relevant spreadsheets and Oracle, the human resources database.
- Maintains and updates substitute office spreadsheets.
- Works to ensure operations of the substitute office runs effectively and efficiently while taking the initiative to recommend changes to processes as well as solutions to issues that may arise and for other employee groups, as necessary.
- Works collaboratively with others to complete the annual renewal process for substitute teachers; assists with updating substitute teacher information in Absence Management.
- Assists with entering new employees, deactivating terminated employees, and updating transfers and rehires into Absence Management.
- Attends and participates in team meetings and events, as required.
- Performs other related duties, as assigned.
WORK ENVIRONMENT/PHYSICAL REQUIREMENTS
This position operates in a professional office and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, scanners, and copiers. The position, at times, must be able to come into direct contact with school system staff, external agencies, and the community. Work is considered light physical work, requiring the exertion of up to ten pounds of force.
